WYLIE CHORAL BOOSTER CLUB BY-LAWS
ARTICLE I. NAME
SECTION
- The name of the organization will be Wylie Choral Booster Club
ARTICLE II. MISSION
SECTION
- To promote interest in and support of the Choir program
- To assist the director(s) of the Choir Department as deemed necessary by the director and members.
- To provide financial aid to the Choir program through fund-raising events.
- To promote academic achievement, support high moral standards, leadership, and all positive individual qualities.
- To work with school administration and support WISD organizations.
ARTICLE III. MEMBERSHIP AND DUES
SECTION
- Membership will consist of parents/guardians of the Choir members and any persons who demonstrate a genuine interest in the promotion of Choir education.
- The term of membership will be from August 1st to July 31st of the school year. However, members may be admitted at any time during the year.
- The school principal and the Choir director(s) will be considered honorary members or this organization.
- Annual dues will be $10.00 per family.
ARTICLE IV. OFFICERS
SECTION
- Officers of this organization shall be president, vice president, secretary, treasurer and publicity/historian.
- Officers shall be elected annually at the first booster club meeting of the school year and shall assume their duties immediately.
- All officers must be parents/guardians of a student enrolled in the Choir program.
- The officers shall be elected from a slate presented by the nominating committee and/or from nominations from the floor.
- The nominating committee shall consist of three members appointed by the president. One of these shall act as chairperson of the committee.
- The consent of each candidate must be obtained before his/her name is placed in nomination either by the nominating committee or from the floor.
ARTICLE V. DUTIES OF THE OFFICERS
SECTION
- President
- Coordinate agenda for meetings.
- Cosign checks with the treasurer.
- Delegate duties to club officers and committee chairpersons.
- Vice President
- Head meetings in the absence of the president.
- Cosign checks with the treasurer in absence of the president.
- Make arrangements for all meetings including meeting place.
- Assume presidency in the event of a vacancy.
- Head executive meeting in the absence of president.
- Assist committee chairpersons concerning goals and special projects of the Booster Club, if necessary.
- Secretary
- Keep the minutes of the meetings and give all members notice.
- Prepare and distribute monthly meeting notices and minutes.
- Read the minutes from previous meeting.
- Treasurer
- Provide financial report(s) at each meeting or upon member request.
- Cosign all checks with the president or vice president.
- Maintain accurate financial records for the club.
- Be responsible for “monies due” and “payable”.
- Deposit all monies in a financial institution as determined by the executive committee.
- Publicity/Historian
- Attend all events and functions and record by taking photos for the club’s website, media, and end-of-year slide show.
- To ensure public attention and support of Booster Club fundraisers and other activities.
ARTICLE VI. EXECUTIVE COMMITTEE
SECTION
- The executive committee shall consist of the elected officers, the chairperson of standing committees and the director(s) of the Choir program. The chairperson of the standing committees shall be selected by the elected officers and be directly responsible to the president.
- The duties of the executive committee shall be to transact necessary business in the intervals between regular meetings.
- Regular meetings of the executive committee shall be held as necessary during the school year. The time is to be decided by the committee at its first meeting of the year.
ARTICLE VII. COMMITTEE RESPONSIBILITIES
SECTION
- Fund-raising and Fund-raising Co-chair Person
- To coordinate all efforts made to raise monies for the club’s volunteer support of the Choir program. All fund-raising committee projects should go through the fund-raising committee for approval before final approval from the organization.
- Hospitality/Volunteers
- To coordinate plans for the end of the year Choir Awards & Banquet.
- To coordinate all “moral booster” for the Choir group.
- To coordinate transportation to events, if needed.
- To communicate with the Membership chairperson calling needs.
- By-Laws
- To review and update by-laws to comply with the needs of the Booster Club.
- Membership
- Assists in welcoming new members to the club.
- Coordinates membership recruitment.
- Creates telephone tree or e-mail tree for emergency notification purposes.
- Coordinates scheduling and committee volunteer recruitment.
- Financial Committee
- The finance committee shall be composed of the treasurer and any two additional members of the board. One of these two shall serve as the chairperson of the financial committee.
- The finance committee shall:
- Prepare the annual budget for presentation at the second meeting.
- File an audit report annually with the board at the end of the year.
- Be responsible for the study and review all matters involving finances, appropriations, and expenditures of the funds of the organization, including but not limited to review of the budgets and financial reports of the organization.
ARTICLE VIII. REMOVAL
SECTION
- Any elected or appointed officer may be removed by the board whenever in its judgment the best interest of this organization would be served thereby.
ARTICLE IX. VACANCIES
SECTION
- A vacancy in any office because of death, resignation, removal disqualification, or otherwise may be filled by the board for the unexpired portion of the term.
ARTICLE X. MEETINGS
SECTION
- General meetings of this organization shall be held on a regular basis as specified by the executive committee.
- Special meetings shall be called by the president after giving due notice to all members.
- A final meeting of the board shall be held before the end of the year choir banquet & awards program.
ARTICLE XI. AMENDMENTS
SECTION
- These by-laws may be amended at the regular meeting of the Booster Club by a majority vote, provided all members have been duly notified.
PRESIDENT
